Privacy Policy for the Washington State Charter Schools Association (WA Charters)

1. WA Charters’ Commitment to Privacy

The Washington State Charter Schools Association (“WA Charters”) is committed to protecting the privacy and security of our members, supporters, donors, and website visitors. This Privacy Policy describes the types of information collected from you when you visit our website, wacharters.org (the “Site”), how WA Charters uses that information, and the choices you have regarding the use of your information.

This Privacy Policy governs wacharters.org and the activities of the Washington State Charter Schools Association, a 501(c)(3) organization. Our affiliated 501(c)(4) organization, WA Charters Action, maintains a separate Privacy Policy for wachartersaction.org.

By using the Site, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

WA Charters collects information in two primary ways:

A. Information You Voluntarily Provide to WA Charters

This is personally identifiable information that you knowingly provide to WA Charters when you interact with the Site. This includes:

• Contact Information: Your name, email address, mailing address, and phone number when you sign up for the WA Charters newsletter, contact us through a form, or register for an event.
• Registration Information: Information provided when you register for WA Charters events or webinars, which may include your job title and school or organization affiliation.
• Donation Information: When you make a donation — including through campaigns such as GiveBIG — WA Charters collects your contact information. Financial payment details (like credit card numbers) are processed securely by a third-party payment processor and are not stored on WA Charters servers. Donations to WA Charters, a 501(c)(3) organization, are generally tax-deductible to the extent allowed by law.
• Advocacy Information: Information you provide when participating in permissible 501(c)(3) advocacy activity, such as educational campaigns or nonpartisan civic engagement efforts hosted on our Site.
• Accessibility and Accommodation Information: When registering for an in-person event, you may voluntarily share information such as dietary restrictions, accessibility needs, or requests for translation services so that WA Charters can plan appropriate accommodations. This information is limited to what is needed for the event and is addressed further in Section 5 below.

B. Information WA Charters Collects Automatically

This is non-personally identifiable information that is collected automatically as you navigate the Site. This includes:

• Log Data: Your Internet Protocol (IP) address, browser type and version, operating system, the pages you visit on our Site, the time and date of your visit, and the time spent on those pages.
• Cookies and Tracking Technologies: WA Charters uses “cookies” to enhance your experience. Cookies are small files stored on your device that help WA Charters understand user behavior, remember your preferences, and improve the Site’s functionality. If your browser sends a “Do Not Track” signal, WA Charters honors that signal and will not use cookies to track your activity across other websites. If you do not accept cookies, you may not be able to use some portions of the Site.

3. How WA Charters Uses Your Information

WA Charters uses the information collected for the following purposes:

• To Communicate With You: To send you newsletters, event information, and other updates you have requested.
• To Provide Services: To process your donations, register you for events, and respond to your inquiries.
• To Improve the Site: To analyze usage trends and user engagement to understand what content is most effective and how to improve the user experience.
• To Support WA Charters’ Mission: To conduct research, education, and technical assistance in support of Washington’s charter public schools.

4. How WA Charters Shares Your Information

Your privacy is paramount. WA Charters does not sell, rent, or lease your personal information to third parties. WA Charters only shares your information in the following limited circumstances:

• With Trusted Service Providers: WA Charters shares information with third-party vendors who perform services on our behalf, such as our supporter database and email communications platform, social media scheduling tools, website hosting, and payment processing. These vendors are contractually obligated to keep your information confidential and are prohibited from using it for any purpose other than to provide the service requested.
• For Legal Reasons: WA Charters may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect the rights or property of WA Charters, or protect the personal safety of our users, members, or the public.

WA Charters makes no promises or assurances related to the data and/or privacy practices of websites linked on the Site.

5. Consumer Health Data (Washington My Health My Data Act)

Washington’s My Health My Data Act (RCW 19.373) broadly protects “consumer health data” — information that identifies a person’s past, present, or future physical or mental health status. WA Charters does not seek to collect consumer health data, but limited information of this kind may be voluntarily shared with us, such as dietary restrictions or accessibility accommodations you provide when registering for an in-person event (see Section 2.A above).

When we do collect this kind of information:

• WA Charters uses it solely to plan for and provide accommodations at our events.
• WA Charters does not sell consumer health data and does not use it for advertising or marketing purposes.
• WA Charters does not use geofencing technology around health care facilities.
• You may withdraw your consent to WA Charters’ collection or use of this information, and request that we delete it, at any time by contacting us using the information in Section 11 below.

6. Data Security

WA Charters implements reasonable administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, use, or disclosure, consistent with Washington’s Consumer Protection Act (RCW 19.86). WA Charters uses technologies such as Secure Sockets Layer (SSL) to encrypt sensitive data during transmission, and donation processing follows applicable Payment Card Industry (PCI) standards.

In the event of a data breach affecting your personal information, WA Charters will provide notice consistent with Washington’s Data Breach Notification Law (RCW 19.255), including notifying affected individuals without unreasonable delay — and no later than 30 days after discovery of the breach — and notifying the Washington State Attorney General if the breach affects more than 500 Washington residents.

Please be aware that no method of transmission over the Internet or method of electronic storage is 100% secure.

7. Your Choices and Control

WA Charters will honor all opt-out requests within 10 business days, consistent with the CAN-SPAM Act, and will not charge fees or require additional information to process an opt-out request.

You have control over your personal information:

• Opt-Out of Communications: You may opt out of receiving future promotional emails from WA Charters at any time by clicking the “unsubscribe” link included at the bottom of every email.
• Cookies: You can manage or disable cookies through your internet browser’s settings.
• Access and Correction: You may contact WA Charters at any time to review, update, or request the deletion of the personal information we have about you.
• Health Data: As described in Section 5, you may withdraw consent to, and request deletion of, any consumer health data you have shared with us.

8. Third-Party Links

The Site may contain links to other websites that are not operated by WA Charters. If you click on a third-party link, you will be directed to that third party’s site. WA Charters has no control over and assumes no responsibility for the content, data, or privacy practices of any third-party sites. You should review the privacy policy of every site you visit.

9. Children’s Privacy

The Site is not intended for individuals under the age of 13. WA Charters does not knowingly collect personally identifiable information from children under 13, in compliance with the Children’s Online Privacy Protection Act (COPPA). While WA Charters’ work relates to K-12 students at Washington’s charter public schools, the Site itself is directed at parents, educators, school leaders, donors, and other adult supporters, not at children. If WA Charters collected personal information from a child under age 13 without verifiable parental consent, we will delete that information promptly. Parents may contact us to review, delete, or restrict further collection.

10. Changes to This Privacy Policy

WA Charters may update this Privacy Policy from time to time and will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date at the top. You are advised to review this Privacy Policy periodically for any changes.
